Welcome to Beacon Arts Dance School! We invite you to read this privacy policy, which explains our privacy practices and how we treat your information. It describes the types of information collected and created in connection with your use of Beacon Arts Dance School, how and why we use such information, who we share it with, and your rights to access. This privacy policy applies how we use, collect and process all personal information.
Who are we and what do we do?
We are a dance school located in Bedfordshire offering in-person dance classes to children and adults. Through our website, we also sell our uniform and class supplies for customers to purchase.
What information do we collect and why?
- Personal Details - Your name and contact details such as address, telephone number and email address are collected with your permission, to enable us to contact you regarding classes, school updates and other relevant information.
- Important information such as your/your child's name, gender, date of birth and medical information are used to let us know who to expect, and how we can offer the most suitable class for them.
- Your child's name and age may be used for certificates of progress within the school or by awarding bodies such as the ISTD (Imperial Society of Teachers of Dancing).
- Booking Details - Class booking details such as the venue, class dates and times enable us to know who will be attending which classes.
- Purchases - Information regarding any products or services purchased will be collected to allow us to process your order or provide the service requested. We will keep a receipt of purchase and send confirmation emails upon receiving payment.
- Card Details - No bank account or card information is stored by Beacon Arts Dance School. Payments are processed using Class For Kids' online booking system, or direct transfers.
- Photographs/Videos - Your preference for photo consent and social media usage (optional) is used to help us know who we are allowed to photograph/video for social media and marketing purposes. Consented images will be held securely for marketing purposes only.
- Attendance - An electronic record of class attendance/absence will be kept for your/your child's safety and to help us keep track of class numbers.
- Safeguarding - In the event of a Safeguarding/Child Protection concern, details of the child's account, including personal details of the parties involved are kept in a separate, confidential electronic folder.
Confidentiality:
- We will only ever share information with a parent/guardian about their own child.
- Information provided by parents/guardians about their child will not be passed on to third parties without permission, except in the case of a Safeguarding issue.
- Concerns or evidence relating to a child's safety, will be kept in a confidential electronic folder and will not be shared within Beacon Arts Dance School, except with the designated Safeguarding lead.
- Staff will only discuss individual children for the purpose of planning and group management.
- Staff are regularly made aware of the importance of confidentiality.
- Students on work placements and volunteers are informed of our Privacy Protection Policy and are required to comply.
Where is information stored and for how long?
Any information regarding class bookings is stored on a database supplied by Class for Kids. This is fully compliant of GDPR legislation, and data controller and data processor obligations.
All payments via Class For Kids are processed using Stripe, who are PCI compliant. Class For Kids do not process or store any card information within their system.
Once a child leaves Beacon Arts Dance School we only retain the data required by statutory legislation and industry best practice, for the prescribed period of time. Electronic data that is no longer required is deleted and paper records are disposed of securely.
Rights to access information:
- Parents/guardians can ask to see any information and records relating to themselves or their child. We will make the requested information available as soon as possible, and will respond within one month.
- If any information is incorrect or out of date, we will update it promptly.
- Parents/guardians can request to delete their data; however, we have a legal obligation to keep certain data. In some cases, this may impact our ability to offer classes for your child.
